FAQs: Getting Apex

How do I get Apex?

Will there be any downtime on my clinical system while getting Apex?
The deployment of Apex software does not require any system downtime whatsoever. 
Note: for SystmOne sites, we will need to access SystmOne Gateway on the Gateway PC for the installation for up to 30 minutes. 

Practices using EMIS Web: what are the requirements for an installation of the software?
We will need to remote on to a nominated PC which can remain turned on overnight with internet connection to allow the data to stream going forward. During the call, we will need to access EMIS Web to configure the partner API. We will need the required administration rights to install software and will support to liaise with your IT provider should this be required. 
Once the installation is complete, the data will begin to stream and populate Apex overnight. 

Practices using SystmOne: what are the requirements for an installation of the software?
We will need to remote on to the Gateway PC to configure the SystmOne strategic reporting within SystmOne Gateway. The staff member who facilitates the call to install the software will need access to amend Strategic Reporting. Please note, this may require action from your Caldicott Guardian prior to the session taking place. When the your installation call has been confirmed with our Deployment team, we will provide instructions within the Outlook confirmation on how this can be actioned. 
Following the installation, we will liaise with SystmOne setup to activate the Strategic Reporting organisation group. The data should then begin to stream overnight when this has been activated. Please note that your SystmOne Gateway PC will need to remain turned on overnight with SystmOne Gateway left in a locked state - this can be done by pressing F11 on the keyboard before removing your smart card. 

Will I need access to the machine Apex has originally been installed on in order to use Apex?
Apex is a web-based application which can be accessed from any PC with internet access. Please click here to log in

What are the next steps (post-installation)?
Following the installation of Apex software, once the data has successfully streamed to populate the platform, we will confirm a suitable day/time for yourself and required colleagues to arrange your initial training via Microsoft Teams. Please click here for more information.

What if my PCN is split with both SystmOne and EMIS Web practices?
Apex is interoperable with both EMIS Web and SystmOne and we are able to collate data across practices into Enterprise views whether they are all utilising one clinical system or not. 

What does the training involve?
During your initial training, one of our Customer Success Managers will support you to configure Apex to reflect your ways of working within your clinical system. We will also provide a demonstration of the system and discuss some available benefits. Please click here to learn more about what to expect when getting Apex.
Please note that for the training session, you will need to join a Microsoft Teams session from a PC with stable internet connection. We will also need audio to throughout the call so please ensure you have a working microphone/headset available. 

Who needs to attend the training sessions?
Generally, we advise that the Practice Manager / Business Manager attend the initial training session, along with any other members of the practice who have a good understanding of the clinical system configuration. Following the initial configuration, a wide variety of practice roles can gain insight from the analytics that Apex has to offer and so we would encourage any and all interested colleagues to join sessions.

SystmOne: Will the installation involve joining another Organisational group in SystmOne?
We create new Strategic Reporting organisation group dedicated to Apex during the remote installation. 

Is my data automatically shared when getting Apex?
Data sharing within Apex is enabled within the settings by a System Administrator user and is never automatically applied without proper written consent in the form of a data sharing agreement. Please see the below useful links:
