Getting APEX Software? What to Expect...

Deploying Apex is initially a two-step process and the Edenbridge Apex team will work with you to ensure this is completed around your convenience.

Software Installation

The installation of the Apex software typically takes place in a 20-minute remote call. During this call, we will need access to your clinical system in order to configure the data streaming. This may differ slightly between areas depending on local IT processes regarding the installation of software so we will advise accordingly.
For EMIS Web practices, we will be configuring the Partner API.
For SystmOne practices, we will utilise strategic reporting for data streaming and Apex will be installed on the Gateway PC.

Installation Requirements for Practices using EMIS Web

We will need to remote on to a nominated PC which can remain turned on overnight with internet connection to allow the data to stream going forward. During the call, we will need to access EMIS Web to configure the partner API. You will need to join a remote call from the nominated PC to allow us to complete these required steps.
We will need the required administration rights to install software and will support to liaise with your IT provider should this be required.
Once the installation is complete, the data will begin to stream and populate Apex overnight providing that the PC where Apex is installed is left turned on, not on sleep mode, with stable internet connection.

Installation Requirements for Practices using SystmOne

We will need to remote on to the Gateway PC to configure the strategic reporting within SystmOne Gateway. You will need to join a remote call from the Gateway PC to allow us to complete these required steps. The staff member who facilitates the call to install the software will need access to amend Strategic Reporting. Please note, this may require action from your Caldicott Guardian prior to the session taking place. When the your installation call has been confirmed with our Deployment team, we will provide instructions within the Outlook confirmation on how this can be actioned.
Following the installation, we will liaise with SystmOne setup to activate the Strategic Reporting organisation group. The data should then begin to stream overnight when this has been activated. Please note that your SystmOne Gateway PC will need to remain turned on overnight with SystmOne Gateway left in a locked state - this can be done by pressing F11 on the keyboard before removing your smart card.

Initial Training via Teams

Once the required data has streamed successfully to populate the Apex dashboards and reports, you can proceed with scheduling your Core Training, which is typically booked for 90-minutes via Microsoft Teams. Once you have booked onto the training using the link provided you will receive a Microsoft Teams invitation to join the session on the day you have signed up for. Before the initial training, you should be set up with a log in to Apex and have access to the system so you can follow along with the steps we will talk through during the session.

We will introduce the functionality of Apex and discuss how you can set up the system in line with your practice appointment book. This will be an interactive session with opportunities to ask questions in the chat and answer polls which will support with your how you can understand and utilise the data contained within Apex.

Our trainers will run through different areas of Apex including our DNA, Re-attendance, and Capacity Planning dashboards. Following the session there will be additional support available for you including articles and videos in the Help Centre and booking 1:1 calls with our Customer Success Management team to explore areas of interest in more depth.

Please note that we will need to allow time between the remote installation and the initial training session to receive the data required to populate Apex.
We were provided with high quality training on Edenbridge Apex. The trainer swiftly demonstrated the functions to us and then moved on to teaching us how to create reports that met our needs. Straight after the training we made changes to both improve access for patients and improve the monitoring of workload. I have not had any training on any IT system where we have been able to benefit so quickly, and this is due to a combination of an excellent product and trainer.

Ongoing Support

Following the initial training session, a further 60-minute training session is offered to follow on and ensure all aspects of the system have been demonstrated. We are dedicated to ensuring you have the support required to make the most of the system and would recommend regularly exploring the Help Centre for further comprehensive guidance. We will be releasing new articles regularly that will look to advise on data quality, user stories, market developments and general guidance on making the most of the Apex tool. If you have specific queries and can't find your answer within the Help Centre knowledge base, please open a Support ticket here

Monthly Teams Webinars

We deliver a monthly National Lunch & Learns via Microsoft Teams that cover a variety of topics and aim to support with accessing the benefits Apex has to offer. Join us on the third Wednesday of every month at 12:30pm or view our recent Lunch and Learns here
To receive an Outlook confirmation with a Microsoft Teams link, please contact deployment@edenbridgehealthcare.com.
