The patient activity dashboard enables you to look at the
data revolving around the number of attended appointments, patients attending
multiple times, the distribution of patients by age, sex, long-term conditions
of patients attending appointments in the selected period and service filter.
How to Create the Search
To run the report, select the
dates that you wish to see the data from and to. Selecting the drop-down box
will offer you a range of pre-set options or you have the option to hand-select
the start and end dates by clicking on the calendar icons.
N.B. Any searches within Apex are
dependent on the configuration of each Service and the streaming status from
your clinical system.

The Report
The first portion of data in Patient Activity provides key
figures on the number of appointments attended along with recurring attendance within
a certain time period. We do have a reattendance dashboard which goes into more
detail on recurring attendance rates, to access this guide please
click here.
It is useful to note that the number of ‘unique’ patients is
the number of patients who have had at least one appointment in the Service and
period selected.
The next section of data looks at the duration of timed sessions which is useful for clinicians when looking at the duration in comparison to the actual time taken during the appointment. For TPP users, we only get the planned appointment data. It is important to note that only timed sessions are used to calculate figures and the actual time of these sessions is used if the data for the slot is deemed reliable. Otherwise, the scheduled time is used.
For the actual time to be deemed reliable, the following criteria must be met:
- There must be a value
- The value is not zero
- The value is less than 120 minutes
You can compare the planned appointments against the actual time of the appointments through the different graphs and metrics provided in this section. It shows the averages, the contact time with patients and a breakdown of the duration of the appointments taking place. The breakdown provides you with the opportunity to see, on average, how long your planned appointments are taking and if they are running under or over the allotted planned time. You can also break this down based on the modes of contact.
The bottom section of Patient Activity looks at the patient
profile for those who have attended appointments in the time period selected. The
bar graph shows the distribution by age and sex of the appointments of the
selected service against the selected period. The link line indicates the total
practice population relating to the selected period. The long-term conditions
graph shows the prevalence of the key chronic diseases across the patients who
have had those appointments shown as a percentage of the population. This can
be useful to analyse the make up of the population and, in addition,
investigate who is using those specific services.
