The Flu Manager report can be located under the Contracts tab, or likewise, can be found
on All Reports. Understanding,
planning and tracking the outcomes of annual flu campaigns can cost significant
time when having to run ad-hoc reports in the Clinical System, but with the Apex
Flu Manager report, you can see at a glance your current achievement, broken
down by patient cohorts and ensure you are on track to meet all of your
targets.
How to Create the Search
When you first navigate to the Flu Manager report, you will be presented with an overview of all patients eligible for the vaccination that are registered within your practice and some key facts around your progress. Please bear in mind that these figures are with no filtering applied.
The first selection to make when setting the report up is to use the drop-down box to select:
- Whether you are looking at the current flu campaign or previous years
- A target which you wish to achieve. This allows you to monitor your progress in line with the standard target or higher, should you wish to raise your threshold.
On the left-hand side, you are
presented with the option to select which Patient Categories you wish to view.
You can select multiples or a single category using the tick boxes on the
left-hand column. This filters by Patient Age with pre-defined categories
available, or you can manually enter a minimum and maximum age.
The Report
Apex then presents three key facts in your first panel of information based on the filtering selections you set up:
- Selected Patients indicates the number of patients registered in the practice who are eligible for the flu vaccine.
- Vaccinated shows you the percentage of eligible patients who have received their vaccine, with the total number of patients that equates to in brackets.
- Apex will also calculate, based on your progress, what date you are expected to reach your selected target.
The next set of information breaks down the progress of your
flu vaccinations by week to allow you to analyse when those patients have been
vaccinated across the season. The light blue bar on the chart represents the vaccines
administered by your practice and the dark blue bar highlights the number of
vaccines received through other organisations (for example, pharmacies
administering the vaccines). Apex provides you with the total number of
vaccines administered by your practice and other organisations. In addition,
the cumulative update graph displays the current number of vaccines which have
been administered and achieved, to then project a forecast of when your target
will be reached. The graph displays an upper and lower estimate which is based
on a 95% confidence interval.
The section on upcoming
appointments can aid you to plan and track your campaign utilising a breakdown
of unvaccinated patients with a booked appointment in the next two weeks. You are also presented with the number of patients who have appointments
booked outside of the flu clinic service but are still unvaccinated and
eligible for the vaccine. This section allows you, as
a practice to plan to offer the vaccine while the patient is in the practice
for their appointment.
Please bear in mind that this
is only available when in a current flu season. This is configured to the flu
clinic service that you linked within the System Services tab which can be
found in Services on your settings. This will assess how many of those
appointments are booked as specific flu appointments. If you would like to

Services
The next section of the Flu Manager report offers you data surrounding a breakdown of patients based on their categorisation within the clinical system. You can see the progress of patient vaccinations and the percentage of achievement against each of the eligibility criteria. Furthermore, there is a section for patients in care homes, housebound and those that are identified as COVID-19 high risk. You can establish the total number of patients within each category and how many have been vaccinated, not vaccinated and those that have declined it.
The icon next to the number of not vaccinated patients is a hyperlink and, when selected, will produce a pop-up box. This is a list of patients who are not vaccinated but are eligible for the vaccine and have not yet declined it. The data we provide in Apex is pseudonymised, but you are provided the patient’s age, sex and their most recent appointment which you can use your appointment book to identify them. However, there must be 100 or fewer unvaccinated patients in order to see this list of patients.
Alongside the patient cohort categories, Apex also allows you to better understand the demographics of those patients who have been vaccinated. Firstly, presenting an age and sex breakdown, a breakdown of different ethnic groups and the average male and average female ages of those patients who have been vaccinated. Secondly, presenting a breakdown of the long-term conditions associated with those patients that have been vaccinated so far. Finally, for EMIS practices, a current patient location map is provided which allows you to view the numbers of patients vaccinated, not vaccinated and declined the vaccine using the radio buttons to the left of the display.
