The DNA report allows you to access the number
of appointments and time lost through DNAs, broken down by Service, with a
patient- level breakdown to help identify areas of concern.
Users run the report by choosing the period
and Service they want to review, they do this by selecting from either a pre-set
date range, or custom period, and then selecting from the list of pre-built
Services they want to review over that period.
How to Create the Search
N.B. Any searches within Apex are dependent on
the configuration of each Service and the streaming status from your clinical
system.
Once happy with the variables selected, users
can then review the data, which will begin by providing a breakdown of the DNA
rate, and when those DNAs have occurred, over the chosen period.
The Report
The report will then provide a day and time breakdown of how the DNAs have occurred on each day of the week, making it possible to review this data in terms of the rates, counts and duration. Each day is broken down into two-hour segments to help pinpoint areas of concern.
The report then breaks down the DNA rates of appointments in Routine hours vs. Enhanced Access. This is particularly useful in helping practices determine the success of offering certain types of appointments, such as Cervical Screenings, in Enhanced Access hours. It is simply a matter of creating a Service including the slot type you would like to review, and then comparing the Enhanced Access vs. Routine DNA rates.
Session Holder information shows how DNAs have affected the appointments of each session holder active within the chosen Service. Here you can see their total number of DNAs (alongside rates), their weekly average, the Routine vs. Enhanced split, as well as basic patient info i.e. average age and sex.

reviewed, with the average age of DNAing patients being 8, and the majority of
them being female
The next segment of the dashboard shows DNAs with prior urgent attendance, essentially DNA rate on previously planned routine appointments following an urgent attendance. If the rate is higher than your overall DNA rate it indicates an issue, and shows a need to remind clinicians, after they see a patient for an urgent appointment, to then check if they still require any pre-planned routine appointments currently in the appointment book.
The dashboard also shows how long it has been since the initial booking date to the patient’s appointment. This is a really useful way of analysing whether you have an issue with patients missing appointments after booking them a long time in advance. It can show whether there is a benefit in embargoing certain slot types if they have a substantial number of DNAs coming from appointments booked more than two weeks ahead.
The dashboard will then provide you with information of the session types contributing to your DNAs in descending order. This will then be replicated, but with Slot Type information. We recommend, when first using this dashboard, to load in a service showing your DNAs across all appointments.
If you identify a specific slot type you want to investigate further, you can then build a Service focussed on that slot type and look at the entire DNA Report in the context of that slot.
Apex will then provide demographic information on those who have missed appointments, with age and sex, long term conditions and ethnicity provided. This can indicate if you have issues with certain groups being absent from certain appointment types, when looking at the volume of DNAs against the size of the population.
The dashboard will provide a list of the Top 100 DNAing patients within the service you have selected.
To identify a patient, simply click on the hyperlink for their Apex number, this will then open up an appointment breakdown showing their DNAs:
