Data Sharing: A Guide for Practices
We appreciate that many users of Apex have concerns during their early deployment regarding data sharing and access. We have collated a timeline of what, if any, data is shared via your Apex organisation and what requirements must be met in order for this to happen. The Edenbridge team believes in total transparency regarding data sharing and will happily discuss any particular queries you may have, but we hope that the following guidance provides clarity for informed decision making.
Step One: Installation
At the point of installing the software, pseudonomysed data will begin to stream overnight into your Apex platform.
This data will not be shared with any other organisation by default, and can only be viewed by specific users that have been granted access to log in. This initial user is confirmed at the point of arranging your initial installation and training sessions. The managing of users and permissions for Apex is the responsibility of the practice.

Step Two: Training
During this call, we will work with you to configure your Services and other settings in Apex, as well as run you through the functionality and any themes of relevance and particular benefits your practice may see based on the trends in the data. During your training sessions, we will look to understand your individual ways of working and context surrounding appointment book set up and will advise accordingly to ensure Apex is representative and the data presented is meaningful.
During the session, if relevant, we will highlight any outstanding data sharing requests from Enterprise organisations such as your PCN, Place or ICB. We will happily discuss details and answer any queries on this, but ultimately, it is the responsibility of the System Administrator users to enable this.
Step Three: Enabling Data Sharing
If you choose to enable this during your training, our team can then offer further support in configuring the appointment data to support Enterprise reporting - such as for Enhanced Access reporting across a PCN, for example.
Furthermore, enabling data sharing with Enterprise organisations does not grant any users immediate access to the entirety of your Apex platform and the data within it. Your input and validation throughout is required to ensure that the data is mapped in a way that fully represents the way you work. No appointment data is shared with Enterprise until it has been configured and manually linked. These requests are actioned by practice users on a one time basis.
There are some datasets that are shared by default as a result of enabling this, such as aggregated data on coding and clinical entries. This can primarily be found within the
Code Analysis Report, which is available at both practice and Enterprise view. Please note that Enterprise organisations are unable to see individual clinician breakdowns and individual patient details.
Step Four: Configuring and Sharing Appointment Data
Once Enterprise sharing has been enabled, you will then need to configure and link your appointment data to each request to support with aggregate reporting. Please see the below useful links on Enterprise configuration.
