Code Analysis Reporting | Additional Winter Demand Example

Code Analysis Reporting | Additional Winter Demand Example

Following the outbreak of Strep A and the additional pressure on NHS services in the winter of 2022/23, Edenbridge Healthcare have collated a Library Item of SNOMED codes available within the Code Analysis report to allow reporting on the demand you have seen. This code set within the Apex Code Analysis library will allow you to see in near-real-time the impact on your local organisation and patients. This code set has been curated to offer an indicator of demand with commonly identified terms surrounding scarlet fever, Streptococcal and respiratory presentations. As this situation continues we will update this library in line with clinical input.

Using Code Analysis

The Code Analysis report can be found within the Productivity and QI tab in the menu for both practice and Enterprise organisations. This report allows you to access a broad range of analytics and context based on coded care record entries, including encounter context, clinician-level utilisation and patient demographics. This report provides a lot of freedom when searching particular datasets, as unlike Appointment Activity or any other service-based dashboard, the Code Analysis report does not require any particular slot type to provide analytics on activity complete (please see this article for further information on appointment data mapping).
Code Analysis is available at practice level Apex, as well as Apex Enterprise for PCNs, Places and ICBs to view such analytics across a whole patch.
Firstly, to utilise this report, we will need to click to add a particular code or code set for searching. You will also need to determine the time period of interest.

When clicking to add a code, you will see a panel open on the right. This will allow you to choose codes based on a User Defined selection, or view the Library for pre-defined groups of codes. Under User Defined, click 'Add Code' to enter your own SNOMED CT Code of interest.
You can search for particular coding within your clinical system or click here to view a helpful SNOMED CT Browser

Hint: Enter the numerical value of the code only. Select 'Look Up' to view the associated term.
When you have your code selected, click 'Add'. You can then add a further codes if you wish, such as when searching for multiple cancer referral codes or a variation of structured medication review coding.
Once you are satisfied with the coding selected in the panel on the right, click 'Ok' and Click to Refresh Data.
This will then populate a pre-structured report with data relating to the particular code set being searched.

Monitoring Additional Winter Demand

To review data associated with Additional Winter Demand, utilise the 'Library' tab at the top of the panel on the right hand side. This will present you with pre-defined code sets to allow you to search. Click on 'Monitoring Additional Winter Demand (Strep A Outbreak). You can view the coding that will be pulled through as part of this search under the 'Inclusions' heading.

Click 'Ok' to select this code set to analyse. Set the time frame as required and Click to Refresh.
This will then populate a pre-structured report with data relating to codes associated with the Monitoring Additional Winter Demand library item.
Firstly, you will see an overview on the Usage of these codes. The 'Code Usage by Date' will give a visual representation of the occurrences of the coding being applied within the clinical system, this graph alone can be utilised to represent the extortionate demand and intensity of Winter 22/23. The dotted line represents the weekly average (71 in this case). The Unique Patients displays the individual number of patients who have one code or more applied within the timeframe. The Average/Day will highlight the prevalence per day.

Below this, you will then see a User Breakdown and a Code Breakdown. The user breakdown can be utilised to understand which clinicians are applying the codes. If you are reviewing this at practice level, you will be able to click into each and view the individual clinician rates. The code breakdown then provides an understanding of which codes/issues are contributing to the overall data shown.
Hint: this can be utilised to understand any potential avoidable contacts. For example - are your GPs entering codes that are associated with needs that additional roles (e.g. Paramedic) could potentially support with?

By scrolling down further, we can begin to understand the context of which these codes are applied relating specifically to the consultation types.
Hint: the User Breakdown and the Context can be useful data to share with patients. For example - 'over half of our minor illness demand was handled by GPs in Face to Face consultations'
Finally, you will find the Patient Profile toward the bottom of the report. This will allow you to understand the overall Patient Demographic, Long Term Condition Prevalence and Ethnicity of the patients who have had the coding applied.
By looking to the bottom right hand side, you will be able to view data on repeat utilisation of any particular code set. This can support an understanding of Reattendance based on coding applied.
If you wish to identify the patients who are repeatedly having a certain code set applied, click on the number of patients in the table to view information about the patients most recent appointment to allow you locate them via the appointment book. Please note that patient level data like this is not available within Apex Enterprise.
